Step 1

Remember that it is prohibited by law to hand out work books to employees. Obtaining a document is possible only in two cases: upon dismissal of an employee or his transfer to another organization. The rest of the time, the employer is responsible for maintaining and safeguarding work books, who is obliged to fill them in according to the rules established by law and create suitable conditions for keeping them under lock and key.

Step 2

According to article No. 62 of the Labor Code of the Russian Federation, the employer can issue an employee a certified copy of a work record book or an extract upon his written application. Make a statement to your supervisor asking for a copy of the document. Indicate the reason why you need to get it, for example, for transfer to the Pension Fund or the department of the Federal Migration Service. The employer has the right to consider the application within three days after filing, after which it is possible to authorize the issuance of a certified copy or refuse it.

Step 3

If you need exactly the original work book, for example, when drawing up documents in the Pension Fund, just inform the employer about it. In such cases, he is obliged to send the original document to the appropriate authority himself. In this case, employees of the fund or other institution receiving the book must write a receipt for it.

Step 4

Try to request a photocopy of your employment record, but not at the place of work, but at the notary's office. This may be required in the absence of a manager or other authorized person who must certify the document. Notary services are paid. Subsequently, the employee himself or the company pays for them, if an appropriate agreement has been concluded between it and the notary. Please note that in this case, an employee of the HR department must certify a copy of the book with a notary, and not the employee himself.
