Humans tend to make mistakes. In order to mitigate punishment at work or avoid it altogether, you need to be able to correctly state your arguments in an explanatory one. An official career often depends on a correctly drawn up "voucher" document.
Instructions
Step 1
Explanatory is a written confirmation by the employee of his guilt. Therefore, before you write it, carefully study your rights and responsibilities. However, this should have been done immediately when starting work in this position. If you do not see anything reprehensible in your actions, you can refuse to write this document. According to part 1 of article 193 of the Labor Code of the Russian Federation, the authorities have no right to regard your refusal to explain as a disciplinary violation. However, keep in mind that if you refuse, you risk ruining your relationship with management.
Step 2
In the case when there is no way to refuse to compile an explanatory note, do not start writing it right away. Take time out, consult with lawyers and work colleagues. During this time, your emotions will subside, and you will be able to quite realistically state your point of view on the incident. A lot depends on your written confessions, including the likelihood of a fine, demotion, or even dismissal for inadequacy.
Step 3
Write this document in a classic way. This means that, firstly, it should be no more than one and a half A4 sheets, or even less. Unless, of course, your work is not related to responsibility for human lives and this incident is not related to their death. Second, write essentially: the date and time of the event, your specific actions and their basis. What guided you when making a decision. Be sure to mention that in that situation you acted in relation to the situation. Thus, you soften the perception of your actions in the eyes of the one who will decide on your issue.
Step 4
Print the explanatory note on a computer, illegible handwriting can harm you if the incident is investigated by the labor dispute committee.
Step 5
You shouldn't write a lie, anyway it will come out and turn against you. Do not justify your actions, describe them as if from the outside, without emotions. Use only "dry" clerical language, i.e. the document should be a simple and straightforward statement of facts. Do not try to place all the blame on your colleagues or others involved in the case. Otherwise, instead of an explanatory story, you will get an emotional story about what bad people are around you. Be sure to admit your guilt if it exists.
Step 6
Remember, explanatory is not a death sentence. Life doesn't end there, so think about how you can benefit from the event. If you stayed in the same place of work, it may make sense to write a statement to your superiors on how to eliminate the deficiencies in the production process, which can continue to lead to similar incidents.
