In some cases, when an employee cannot appear for some reason personally for a work book or simply does not want to go for it, the employer has the right to send a document confirming work activity by mail. For this, a notification is drawn up and sent to the specialist's registration address. After receiving a written response from the employee, the work book is sent by mail with a valuable letter.

Instructions
Step 1
Article 84 of the Labor Code of the Russian Federation provides for the right of the employer, with the consent of the owner of the work book, to send a document on the employee's work activity by mail. To do this, write a notification. Write in it a request to appear for the work book in person at the company where the document is stored. Indicate the second option for receiving the document - by a valuable letter by mail. Seal the notification in an envelope, on the last write the address of the employee's registration or his residence address, which is indicated in the personnel documents. Indicate on the letter that the postman needs to notify you that the documents have been delivered to the addressee.
Step 2
Wait for a response from the employee. If it has not been received, please send another notification in the same way. Then attach the work book to the employee's personal card. Labor legislation provides for the obligation of the employer to keep documents on labor activity for up to 50 years in archives. The closest relative of the specialist may appear for the work book, receive a document by power of attorney.
Step 3
With the consent of the employee, you can start drawing up a valuable letter. But oral consent is not enough, it is necessary that the specialist sent an application with a request to send the work book in this way. An employee's resignation letter can also be sent by telegram. The latter serves as a statement (if it is absent), the employee's signature is certified by the telegraph operator, which is enough to formalize the termination of employment, send the work book to the address indicated in the telegram.
Step 4
Come to the post office, make an inventory of the documents sent to the employee. Estimate the cost of the sent work book. Seal the envelope, write on it the address of the specialist indicated in the telegram, reply letter. A valuable letter is handed over to the addressee, after which the company is notified in the form of a notification, which can further confirm the employer's authority in the event of a labor dispute.
