Sooner or later, every employee is faced with the question: how to correctly draw up a report on their work. Any report is an important tool for the employee and the manager, with the help of this formalized type of communication, the manager receives the information he needs, which he needs to analyze and evaluate the employee's activities.
Instructions
Step 1
First of all, it is necessary to determine what type of report needs to be drawn up: one-time or work. One-time reports are usually drawn up based on the results of specific activities, and workers allow you to periodically analyze the work performed by the employee (volume and result).
Periodic reports can be: daily (can be used to monitor important short-term projects or during an employee's probationary period), weekly (most common), monthly, quarterly, and ready-made (this type of report contains a large amount of analytical information and is usually provided to senior management).
Step 2
So how do you write a job report correctly?
First, you need to decide on the timing of the report and plan in your work schedule the time for its preparation. This can be a small amount of time every day, or a specific time allotted for the preparation of the entire report at once, the most important thing is not to delay until the deadline.
Step 3
First of all, decide on the ultimate goals of your work. The content of the report should be informative, clear and preferably concise. Do not forget about the “rule of seven”, which says that our consciousness is able to effectively assimilate 7 elements at the same time (+/- 2). Accordingly, it is desirable to highlight exactly this number of points or sections in the report.
Step 4
It is important to be able to focus specifically on the results of your activities, describing what tasks were completed, and not just listing the actions performed for a certain period.
Step 5
For greater clarity, provide your answer with tables, pictures, diagrams.
Step 6
The situation is simplified, if your company has already developed report forms (forms, tables that must be filled out by making your comments)
Step 7
It is not only what you wrote in the report that matters, but also how you sent it. Here you should remember the golden rule: daily reports are sent at the end of the working day, and not the next morning. Weekly - Friday night, not Monday morning.
Step 8
Another tip: before you send the report, read it again, try to do it through the eyes of your management. What questions do you have? Perhaps it is necessary to add something or, on the contrary, to simplify the information as much as possible.
