The staffing table is the main document that reflects the list of structural divisions and positions of employees, as well as the monthly payroll of the organization. The staffing table is required to form the composition and the total number of personnel.

The labor legislation of the Russian Federation does not require the compulsory drawing up of a staffing table in an organization. However, there is a decree from Roskomstat that organizations of all forms of ownership must keep records of primary documents on wages. The hiring of workers (both main and part-time workers) should be carried out on the basis of the staffing table, since in the drawn up labor contract it is required to indicate the structural unit, the position of the employee. Moreover, the name of the employee's position in the contract must necessarily coincide with the one indicated in the staffing table. To formalize the staffing table, a unified form of primary documents T-3 is used, which contains a list of positions, reflects the structural composition of the organization and the number of staff units, contains information about employee salaries, allowances and additional payments, monthly wages. The unified form of the document should in no case be abbreviated. However, it is allowed to make some changes. For example, you can narrow down the unclaimed section of the staffing table and not fill it in the future. The order of arrangement of structural divisions and personnel positions in the staffing table should be determined by the head of the company. Positions are indicated, starting with the highest levels, ending with the junior positions, that is, in descending order. All divisions, positions in the staffing table are given exclusively in the nominative case. For part-time workers, it is necessary to provide incomplete staff positions, they are given in shares (for example, 0, 5 or 0, 25). Never put a salary range on the staffing table. There is a special column for reflecting fluctuations in wages, it is called "allowances". The labor economist is obliged to draw up the staffing table of the organization. If there is no such position, the manager himself decides who will deal with this issue. This decision is formalized by order. The staffing table is drawn up for a specific calendar date, it is put into effect by order of the head. This document is usually approved annually on January 1st. The staffing table must be stitched, numbered, have the seal of the organization, the signature of the head and the accountant. Changes may occur in the number of staff of the organization during the year. In this case, they need to be drawn up by order of the head. A competently drawn up staffing table is the key to winning labor disputes in court.
