Step 1

When starting to write a business letter, clarify the purpose of the request and the range of issues to be resolved. Study the legislative acts, regulations that govern the procedure for resolving such issues. If you know the legislative and regulatory acts, then you will be able to formulate the request more competently, choose the correct addressee for its implementation. Remember that a service, business document is designed to convince, to induce action. This means that it must be reasoned enough, and its formulations are legally flawless.

Try to fully, but concisely and clearly state all the information that is necessary to solve the question that interests you. Incompleteness of information often gives rise to correspondence with the request for missing information, delays the resolution of the problem. Each word of a business letter should carry a semantic load. Eliminate unnecessary detail and repetition. To highlight the essence of the letter, to facilitate the perception of information, begin the document with a statement of the essence of the request. In the second part of the letter, argue for it, support it with justifications. Use stable phraseological expressions adopted in business correspondence. For example: "We ask you to find an opportunity …", "In accordance with the agreement reached …", etc. Avoid in one sentence tautology, use of the same root words.

As a rule, official documents are produced on the letterhead of the organization, including the relevant details (logo, organization code, its name, reference data, OGRN of the legal entity, registration number of the document, date, etc.). The addressee can be individuals, officials or organizations. If necessary, the postal address is indicated in accordance with the sequence established by the rules of the Russian Post. When addressing a letter to an official, indicate his initials before the surname. The name of the organization is written in the nominative case, the position of the addressee - in the dative.

Step 4

When completing a business letter, indicate the full name of the position of the person signing the document (if the request is not stated on the official letterhead of the organization), or abbreviated (on the one drawn up on the letterhead). Include the signature with its decryption.
