The procedure for issuing orders for the enterprise is established by the instructions for office work. At the same time, the accounting and storage of these documents is kept in a special order registration book, which must be present in every organization without fail.
Instructions
Step 1
Create a register of orders. In large enterprises, this is done by a separate clerical officer; small companies appoint a responsible person for these purposes. You can use both the approved form of the registration book, and developed independently.
Step 2
Create the cover of the order log book. It should be made of dense material so that the order sheets do not wrinkle during storage. It should be noted that these documents must be kept at the enterprise for at least 5 years.
Step 3
Write on the cover the name of the business, the title of the book, and the period. Depending on the frequency of issuing orders in the organization, the registration log can be calculated for a month, quarter or year. The reverse side of the cover contains information about the person responsible for maintaining and storing the document.
Step 4
Choose one of the ways to store orders in the registration book. They can be glued in a book or inserted with a binder. The second option is preferable in case you need to get one of the orders and make a copy of it. All orders must be arranged in chronological order. Some businesses leave backup numbers that may be needed to process orders retroactively. However, this method is illegal, so you shouldn't abuse it.
Step 5
Develop a common form for enterprise orders. As a rule, this is a letterhead, at the top of which there are pre-prepared details of the enterprise: name, address and registration information.
Step 6
Issue the order. Enter its number and date of compilation. After that, come up with a title that should briefly answer the question "about what?" The main text consists of a statement of the basis of the order and the administrative part. At the end, the signature of the head or other authorized person is put.
Step 7
After that, the order is drawn up in the order registration book. If the document affects the employees of the enterprise, for example, a commission is formed, then these persons should note that they have read the order and put their signature.
