Correctly organized office work in an organization or at an enterprise allows you to keep documents in order and control their movement at any time. If the activity of your company is related to the conclusion of contracts, keep an appropriate journal of their accounting. A well-designed magazine will make it possible to record the details of documents and their chronology.

Necessary

  • - a journal for recording documentation;
  • - materials to be recorded;
  • - fountain pen;
  • - pencil;
  • - scissors;
  • - ruler;
  • - paper;
  • - threads;
  • - needle;
  • - glue.

Instructions

Step 1

Find a convenient form for keeping a log book. At the same time, proceed from the urgent needs of the organization and the peculiarities of office work. Recently, electronic forms of documentation accounting have become more widespread, but they are not always convenient when familiarizing managers with them. In the simplest case, you can draw up an accounting journal in a standard large-format notebook.

Step 2

Number the pages of the magazine by putting sequential numbers at the bottom or top of each sheet. Sew the entire block of pages with strong thread, leading the ends past the last page of the magazine. Write on a small piece of paper how many sheets the book contains. Glue this label to the last page in a row, passing the ends of the thread under it, tied in a knot. When the glue dries, affix here the seal for the documents and the signature of the person who issued the magazine.

Step 3

Start designing your title page. Write the name of the journal on the front of the journal, for example, "Contract journal". Include in the description the name of the organization (company) and its main details. Leave two lines for the start and end dates of the journal. All this information can not be entered by hand, but pre-printed on a printer and then neatly glued to the cover of the magazine.

Step 4

Divide the working pages of the journal into as many columns as is required for a complete description of the documents to be recorded. Be sure to provide columns for the serial number, the date of receipt of the document, the conclusion of the contract, the release of the order, and so on. Leave a separate column for a brief description of the essence of the document and its main content. Provide also a place for the signature of the person who received the document for execution.

Step 5

If necessary, register the journal with the office (secretariat), assigning the appropriate number and other details to it. After the registration procedure, the accounting journal can be used for its intended purpose.
