In large organizations, most visitors usually get the information they need from the secretariat. What impression of communication will the assistant manager leave? Will the client want to call again? Will the interested person receive comprehensive answers to their questions? To be confident in the positive qualities of the secretary, you need to responsibly prepare for the first meeting and competently organize and conduct an interview.
Instructions
Step 1
The secretary is the face of the company. First of all, evaluate the applicant's appearance. After all, it is not for nothing that they say that they are greeted by their clothes, but they are escorted by their minds. How neat and welcoming a secretary looks can go a long way in getting the contract you need or negotiating upcoming negotiations. If you have your own "image", try to listen to your intuition. If you approve in the position of a person who causes you internal contradictions, then it will probably be difficult to work with him, because the secretary is not only the face of the company, but also the right hand of the manager. However, do not immediately approve of someone who will please you with a bright, beautiful appearance. A pretty picture can quickly become boring, and the papers will remain unassembled.
Step 2
During the conversation, listen carefully: the secretary will communicate with clients, conduct telephone conversations and write letters. His speech should be competent, the endings consistent, and the tone benevolent. Pay special attention to the presence of so-called parasitic words in speech. If the applicant's monologue is replete with unnecessary “so it means,” “so to speak,” “uh,” “well,” then you are unlikely to achieve the absence of these expressions in a business setting. The use of jargon and slang is considered unacceptable, unless you yourself allow the conversation to take an informal course.
Step 3
Ask the secretary to type in the dictation. So you check three important qualities at once: printing speed, writing literacy and personal computer skills. Deliberately make stylistic mistakes and observe the applicant's reaction. If he politely advises the most appropriate way of constructing a phrase, mark it to yourself with a "plus".
Step 4
Study the secretary's resume carefully. Pay attention to previous jobs, ask the applicant about the reasons for leaving. A polite and quick-witted person will never speak impartially about a former leader, "throw mud" at the team or talk about his own mistakes. The most acceptable answer you can hear is a mismatch in salary expectations. Highlight the key words in the text of the resume and in the story of the interlocutor: punctuality, orderliness, stress resistance, sociability, politeness. Remember that the secretary is often the link between the various departments of the organization; both the mood of the manager and the comfort, friendly atmosphere and order in the entire office can depend on his professional and personal qualities.
