In accordance with the Labor Code of the Russian Federation and the established document flow procedure, any employee's statement must be registered as an internal document. Registration of the application is carried out by a personnel employee or a secretary of the enterprise with the appropriate authority at the time of its submission. Information about the acceptance of the application is entered into a special register, depending on the type of application received. Upon receipt of a document by registered mail by mail to the address of the enterprise, it is registered as an incoming document.

Step 1

When you receive an application from an employee, check that it bears the date and signature of the employee himself, as well as a resolution from his immediate supervisor. To register on the document itself, write "Received", put the current date of receipt of the application. Next, indicate the position of the person who registers the document, write the name of the registrar and sign.

Step 2

If this is an application for dismissal, hiring, vacation and other personnel documents, it is registered by the personnel department in the application register. Give the application a serial number following the last registered document.

Step 3

In the appropriate fields of the journal, enter information about the date of receipt, the full name of the employee who submitted the application. For a large enterprise, it is also necessary to additionally indicate the structural unit and the personnel number of the employee. Next, briefly indicate the essence of the document (dismissal, vacation, or other). In a separate field, write down the manager's resolution affixed to the application.

Step 4

Upon receipt of any application by mail, you must fill out the journal of incoming correspondence. Assign the serial number of the incoming document to the application. In the journal, indicate the date it was received, the full name and address of the sender, as well as the employee who signed for the letter. In the same way, mark in the journal the content of the document and the final resolution on it by the head. The incoming document must be registered immediately upon its arrival.
