In order to correctly formalize the departure of employees on annual leave, the legislation establishes standard forms of documents. These include a vacation schedule for employees, an order for granting leave for each of the employees, as well as a payroll note of the corresponding form.
Instructions
Step 1
In the vacation schedule (it is drawn up and approved by December 17 of the previous year), it is necessary to include the procedure for leaving each employee of the organization on vacation for the next year. When forming the schedule for the sequence of vacations, it is important to take into account the specifics of the organization's work and, if possible, the wishes of employees. Also pay attention to the opinion of the trade union, if there is one in your organization. An employee of the personnel department or the person responsible for maintaining personnel records is responsible for the formation of the vacation schedule, and it is approved by the head of the personnel service and the head of the organization.
Step 2
Both the employer and the employees themselves are obliged to comply with the approved vacation schedule. In order for employees to comply with the schedule, they should be familiarized with it, and it is best to do this against signature.
Step 3
Immediately before going on vacation, no later than two weeks in advance, the employer notifies the employee of the start date and duration of the vacation. For this purpose, a notification is drawn up, or a vacation order is drawn up (which in any case will need to be drawn up). Thus, by filling out the order in advance, you will avoid the need to draw up notifications for each employee leaving on vacation.
Step 4
The transfer of the planned vacation is permissible by mutual agreement between the employee and the administration. At the initiative of the employee, the vacation is postponed on the basis of an application, which must be approved by the manager.
Step 5
At the initiative of the organization, the vacation is postponed on the basis of the order of the head, provided that the employee is notified of the postponement and does not object to it.
Step 6
On the part of the employee, when going on vacation, it is necessary to write a statement indicating the number of vacation days, or clearly indicating the start and end dates of the vacation.
