To maintain personal data of employees, some employers use so-called personal files. According to article 85 of the Labor Code, personnel workers must receive, store and combine information on each employee. For this, it is advisable to use such personal files. What is the order of their registration?
Instructions
Step 1
First, it should be clarified that the management of personal files is not a mandatory document for organizations, but if you have decided to use it, you will have to be guided by the rules of office work.
Step 2
When an employee is hired, the manager issues an order (instruction) in the form No. T-1. On the basis of this document, generate a personal card for a new employee (form No. T-2).
Step 3
To fill out this form, you will need the following documents: passport, work book, certificate of registration (TIN), insurance certificate, military ID (if any), certificate or diploma and other documents, for example, for a driver - a driver's license, for cooks - a medical book, etc.
Step 4
Take copies of all of the above documents and file them in a personal file in chronological order. This archive is stored in the personnel department or in the accounting department, any changes are made only by responsible persons. But keep in mind that the work book is not included in the personal file, it must be stored separately in a safe or under lock and key. Responsible persons for the safety of these documents are appointed by a separate order.
Step 5
List all documents in the inventory, make changes in the special column "Attachments". It also contains the serial numbers of the documents, the number of sheets of each of them and the date of receipt.
Step 6
Some of the documents from the personal file are a questionnaire, an autobiography, written explanations and any statements. Remember that the archive is not transferred to the employee himself and even if necessary, the employee can look at the personal file only in the presence of the person in charge.
Step 7
After the case is formed, complete the cover page. To do this, in the center in the middle, write the serial number of this archive, the name of the organization, the position of the employee, as well as his full name.
