Even in small enterprises, it is periodically necessary to formalize the instructions of the head in writing and, as a rule, in such cases, orders are issued. The need to make changes to previously issued local acts may be caused by various internal and external reasons, but in any case, such amendments must be drawn up correctly.
Instructions
Step 1
Order - a local act, which formalizes a mandatory order, an order of the head (head) of the enterprise, addressed to subordinates. In addition, the order may define a permanent procedure, for example, an order "On holding a competition for filling vacant positions" or approved or enacted another internal regulatory document, for example, an order "On approval of the accounting policy of an organization."
Step 2
At large enterprises, a special document "Office work" may be in force, containing the rules for publication, design and procedure for amending the orders of a particular organization. However, such an order does not exist everywhere, and in this case, one should refer to the generally accepted rules of document flow.
Step 3
Thus, amendments to the order can be made only by issuing a document similar in force. In other words, changes to the order must be formalized by the order "On Amendments to Order No. … from …".
Step 4
Only a person authorized by virtue of his official position and with the obligatory observance of the rules of subordination can sign an act (order) on amending the order. That is, by order of the head of the department, changes cannot be made to the order of the head of the organization, but the opposite situation is quite possible.
Step 5
Orders are issued, as a rule, on the letterhead of the organization, if any. In the middle of the line or on the right, the word "Order" is written, denoting the type of the leader's act.
Below indicate the name of the order ("On amendments to …..").
In the introductory part, you can designate the goals of changes to a previously published document, for example, "In order to optimize the work on keeping records of accidents at work, I can order:..".
Next is the text of the order on amendments, where you need to clearly list all the points of the main document to which changes are made. If any parts of the main document are changed completely, then indicate that “such and such a point (or paragraph, etc.) shall be stated in the following edition:…”.
Step 6
In addition, specify in the order the date of entry into force of the changes, list the officials (you can indicate the surname) involved in the execution of the order and the method of bringing the changes to their attention. And in conclusion, indicate the persons responsible for the execution of the order.
If changes are made to the order periodically (legislation is often changed, these are the features of the production activities of the enterprise), it is advisable to determine in the main document the procedure for making changes to it.
