Step 1

The head of the structural unit must write a memo to the first person of the company, in which to indicate the reason for its preparation. This may be a change in the technological or organizational working conditions. He needs to write in a note the surnames, first names, patronymics of employees who should reduce the duration of their working hours, the positions they hold. The head of the structural unit needs to put a personal signature and the date of writing the memorandum. The director needs to consider this document and, if he agrees, put a resolution on it with the date and signature.

Step 2

Draw up an order, in the head of which write the name of the enterprise in accordance with the constituent documents or the last name, first name, patronymic of an individual in accordance with an identity document, if the organizational and legal form of the organization is an individual entrepreneur. Write the name of the document in capital letters, give the order a number and date of issue. Indicate the topic of the document, which in this case corresponds to the reduction in working hours. Write down the reason for drawing up the order, which in this case corresponds to a change in the technological or organizational working conditions. Write down why the working hours are reduced, in this case it is the avoidance of job cuts.

Step 3

In the administrative part of the order, indicate the name of the structural unit whose employees are reduced working hours. Enter the last names, first names, patronymics of employees, their positions in accordance with the staffing table. Write down the previous working hours of the workers, indicate the expected mode. Place the responsibility of notifying specialists about the reduction of working hours on the personnel department.

Step 4

Certify the order with the seal of the enterprise and the signature of the director of the organization. Check the documents of the employees against signature.

Step 5

Draw up notifications to each employee of the structural unit in which it is supposed to reduce the duration of working hours, in two copies. These documents should be handed over to employees two months before the actual date on which the order to reduce working hours comes into force. By putting a personal signature on the notification, specialists thereby express their consent to this reduction in the working day. In accordance with the Labor Code of the Russian Federation, a reduction in working hours should be introduced for no more than six months.
